Terms & Conditions of your booking

Definitions

Pitch’ – means the area that your tent and/or campervan and/or motorhome etc occupies during your stay at Moss Howe Farm.
Site’ means the campsite and any property/equipment contained within the boundaries of the campsite at Moss Howe Farm.
Site rules’ – means the rules in force at the relevant site.
The customer’ or ‘you’ or ‘your’ – means the person named in the booking confirmation.
We”, “us”, or “our” – means Long Valley Holidays Ltd, Moss Howe Farm campsite, Witherslack, Cumbria. LA11 6SA.

1. Booking your holiday

At the time of booking a 25% non refundable deposit is payable to confirm your booking. Deposits can be paid by credit or debit card using our online booking system or over the telephone. In payment of the deposit the customer confirms that they will comply with the terms of this agreement. Once a reservation has been made a confirmation of your booking will be sent to you at the e-mail address given on the booking form.
All prices shown on our website or on the telephone relating to the site include VAT. If the VAT rates changes, we reserve the right to change our prices accordingly. VAT invoices can be provided on request.
To make a booking you must be over 18 years old.

We reserve the right to accept or decline bookings entirely at our discretion

2. Pitches

Pitch sizes can be booked in the following sizes; small, medium, large and premium. It is your responsibility to book the correct size pitch for the size of your tent. We cannot guarantee that we will be able to accommodate you if the pitch you have booked is too small for your tent. Pitch sizes are as follows;

Small – 2.5m x 3m
Medium – 5m x 5m
Large – 5m x 6m
Premium 5m x 7m

3. Balance payments

Balance payment must be made no later than 2 weeks prior to commencement of the booked holiday to guarantee your booking.
It is your responsibility to remember to pay this although an automated balance reminder will be sent to the e-mail address provided on the booking form. If your balance payment has not been received by this time we reserve the right to cancel and re-book your holiday with the loss of the initial deposit.

If you are booking within two weeks of the start of your holiday, payment is required in full.

Directions and arrival details are issued on receipt of the final payment to the e-mail address provided on the booking form 7 days prior to your stay.

4. Arrival

Your camping pitch will be ready for you anytime between 3pm and 8pm.

For the benefit of all on site we DO NOT ALLOW any vehicle movements around the site or entry/exit between 8pm and 7:30am, this applies to both new arrivals and those already staying onsite.

All guests MUST register at the campsite reception PRIOR TO ENTERING site.

If for any reason you find yourself ‘ARRIVING’ or simply ‘RETURNING’ to site from a day out between 8pm & 7:30am you will be required to park in any space that ‘MIGHT’ be available in the entrance car park & walk to your pitch.

5. Driving onsite

For the safety of all guests and staff a 5 mile an hour speed limit is in place throughout the site. Movement of vehicles is restricted between the hours of 8pm and 7.30am.

6. Visitors

Any/all visitors must be reported to and agreed with the onsite staff prior to any visitors arriving at the site. All visitors are charged at £5 per visitor per day. Any visitors found to be onsite where the onsite staff have not been notified will be asked to leave immediately.

7. Departure the site

Customers must depart the site by 11 am on the day of departure. Any amendments to these times are entirely at Long Valley Yurts – Witherslack Ltds discretion and must be agreed prior.

8. Onsite parking for personal vehicles

Unless an additional car has been booked only one car is allowed per booked pitch. Please note: Not all pitches have a car parking area with the pitch and it may be necessary to park your vehicle in the car park at the site entrance. Car parking allocation is clearly detailed on the booking form. Extra vehicles must be parked in the designated car parking area which you will be directed to upon arrival.

9. Group Bookings

Bookings for all groups, including large family (above 6 persons) or friend groups (above four persons), must be notified to us and approved by us prior to booking.

Please note that if you fail to comply with our rules on group bookings we may ask you to leave the site without refund of any fees paid.

10. Stag/Hen Parties

We do not accept bookings for stag/hen parties.

11. Single sex groups

We do not accept any large single-sex groups of more than four persons. Please note any none declared groups that have booked pitches individually under different names will forfeit the pitch without any refund of any fees paid.

12. Anti-social behaviour

Anti-social, drunken or threatening behaviour will not be tolerated. Any behaviour that in anyway affects the enjoyment of others onsite howsoever caused may result in you and other party members being asked to leave the site with the forfeit of the pitch and any refund of any fees paid.
The following will not be tolerated;

  • Verbal abuse of any Long Valley Holidays employees, contractors or other guests.
  • Any threating behaviour or physical violence towards any of the above persons.
  • Racial abuse or sexual harassment to any of the above persons.
  • Malicious damage or theft from the site, employees, contractors or other guests.
  • Drug use
  1. Maximum Occupancy for the accommodationYou must ensure that the maximum number of persons occupying the pitch does not exceed the maximum occupancy limits set out on our website and in your booking confirmation for your pitch. For the purposes of occupancy limits a child over the age of 4 is considered an occupant.Maximum occupancy limits are set in line with the facilities, space, and equipment available at the site and to comply with applicable health and safety, insurance and regulatory requirements. As such, we reserve the right to ask you to leave the site forfeiting the pitch without any refund of any fees paid if you exceed the maximum occupancy limits14. Damage to the pitchIf you discover that anything is missing or damaged on arrival at your pitch you must notify us immediately at the site reception.
    You will be responsible for the cost of any damage to the pitch caused by you or by any member of your party or animal brought with you. We recommend that you have comprehensive insurance in place to cover this.

    15. Rights of access

    Our staff or contractors may need to access if there is an unforeseen problem, to investigate an incident you have raised, or to perform certain routine checks. If this happens, we’ll do our best to let you know in advance of the date and time that we will need access.

    16. Noise Policy

    For the benefit of you and your fellow campers on the site, there is a strict no noise policy on site after 10.30 pm, this is not negotiable. Customers not abiding by this will be asked to leave the site forfeiting their pitch and with no refund of fees paid.

    17. Pets

    Dogs are welcome on site and are chargeable upon booking at £2 per pet, per night, up to a maximum of two dogs per booking.

    Please note the following conditions;
    – Dogs must be added at the time of making the booking.
    – While on-site dogs must be kept on a lead at all times.
    – You must always clean up after your dog and dispose of mess appropriately.
    – Your dog must be vaccinated, preferably chipped and not be on the dangerous dog’s list.
    – Your dog must not be left unattended at any point during your stay.
    – If dogs become a nuisance to other users and the situation cannot be resolved we reserve the right to request that the pet be removed from the site.

    18. Changing your booking

    If you want to change any detail of your confirmed booking you must contact us by telephone, email quoting your booking reference as soon as possible. This includes details such as the number of pitches, the number of guests, the size of your tent. etc
    Whilst we will do our best to accommodate you, we cannot guarantee that we will be able to meet any request for changes. Any reduction in the number of nights will be treated as a partial cancellation and cancellation charges calculated in accordance with our cancellation policy apply.

    19. Cancellation Policy

    Once a booking has been confirmed you are liable for the whole cost of the holiday. Cancellation and curtailment protection insurance is, therefore advised. A comprehensive insurance policy is available to purchase with your booking through our partners at Booking Protect.

    We recommend you include this option in order to get a full refund of the purchase price of your holiday should you or anyone in the party be unable to attend due to:

    Injury or Illness happening to you, or a member of your immediate family.
    – Adverse weather including snow, frost, fog, or storm where the Police or Government have issued travel warnings.
    – The mechanical breakdown, accident, fire, or theft en route of a private vehicle taking you to the booked holiday.

    Please note that should insurance not be taken out, our standard terms and conditions apply.

    Cancellation more than 14 days prior to booked arrival date – 100% loss of initial deposit payment. We will however endeavour to re-let the pitch/s and if successful offer to transfer this deposit to a future booking with us.

    Cancellation within 14 days of booked arrival date – 100% loss of booking fee. We will however endeavour to re-let the pitch/s, and if successful, will refund the amount recouped, less the non-refundable deposit which furthermore we will offer to transfer over to a future booking.

    Accordingly, it is important that cancellations are intimated to us in writing.

    20. Force Majeure

    Long Valley Yurts – Witherslack Ltd are not liable for refunds or expenses incurred by the customer in the event that we are prevented from fulfilling the booking as a result of circumstances beyond our control. Such circumstances shall include (but not be limited to) war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events (“Force Majeure”). Long Valley Yurts – Witherslack recommends that adequate holiday insurance is purchased to cover this.

    21. General Exclusions

    Long Valley Yurts – Witherslack Ltd accepts no responsibility for the personal possessions of the customers or the customers party. Vehicles and possessions are left entirely at the risk of the customer.

    22. Long Valley Yurts – Witherslack Ltd – Privacy Policy

    Our privacy policy sets out how Long Valley Camping uses and protects any information that you give Long Valley Camping when you use this website.

Long Valley Camping are committed to ensuring that your privacy is protected. Any information provided will only be used in accordance with this privacy statement and will not be passed onto any third parties unless required to do so by law.

As part of the booking process, Long Valley Camping will collect personal information including not limited to your name, email address, postal address and telephone number.

This information is necessary for booking and insurance purposes. None of this information will be shared with any third parties (other than Long Valley Camping’s insurance company if requested). Payment details are processed through our secure online payment system.

23. Complaints

We do our very best to ensure that all guests enjoy their stay with us. However, despite this, it may be that you have a genuine complaint. Any problems should be reported to reception as soon as possible in order that it can be resolved. No complaint will be considered AFTER the visitor has left the site.
